Getting Started

We need access to the following:

  • Git repository (E.g. GitHub or BitBucket)

  • Access to server management software (E.g. Ploi or Forge)

  • Access to hosting provider control panel

  • SFTP access

  • SSH access

We can help you pull this information together and liaise with your current IT provider, web developer, or hosting provider to get access to what we need to manage your website and server seamlessly.

Billing

We invoice annually for the full year of service. Payment is due on receipt, and once we have access to your website and servers, we'll get started with your first update.

Annual billing allows us to provide consistent, reliable maintenance throughout your contract period whilst keeping administrative costs low. Invoices include the name of your chosen plan and the maintenance schedule for the year ahead.

There is a 12-month minimum contract period for all maintenance plans.

Process

Yes, we take a fresh backup from your production site before every maintenance update begins. We maintain a local copy of your website and its assets, which is updated by pulling from the production site.

We use Git to version control all updates. This means if (after testing locally and on staging) your website still goes offline as a result of an update on production, we can easily roll back to the previous working version.

The backup process is included as part of our maintenance procedure - you don't need to request it or take any action on your end.

Updates happen locally first, then they're pushed to a staging server, which is a mirror copy of your production site's hosting environment.

On staging, we use specialised software to crawl every page of your website to check it's not returning 5XX or 404 errors. Site functionality (such as contact forms) is tested manually to ensure all features are working correctly.

This dual approach combines automated testing for technical issues across your entire site with human testing for functionality. Only after we're confident that everything is working correctly on the staging environment do we proceed with applying the updates to your production site at a low traffic time.

This thorough testing process is why we maintain both staging and production environments - it allows us to catch and resolve any potential issues before they could affect your visitors or business operations

While issues during updates are rare due to our thorough testing process, if something does go wrong, we follow a clear procedure to restore your site as quickly as possible.

We immediately restore your site from the fresh backup we took before maintenance began, getting your live site back online within minutes. Once your site is operational again, we investigate what went wrong using our local copy and staging environment to identify the root cause.

After diagnosing the problem, we develop and test a solution on the staging environment before attempting the update again. Throughout this process, we keep you informed with regular updates about what's happening and our estimated timeline for completion.

This ensures your site experiences minimal downtime whilst we resolve any unexpected issues safely and thoroughly.

Yes, we'll always notify you in advance before any scheduled maintenance begins. We schedule all maintenance during quiet low-traffic periods and confirm the specific timing with you beforehand. We want to make sure we don't update the website if you're in the middle of a marketing campaign or making content updates in-house.

This advance notice ensures you're fully informed and can plan accordingly if needed.

Maintenance Services

The duration depends on the type of updates being applied. Updates take three forms: Minor, Patch, and Major updates.

Minor and Patch updates for both staging and production servers typically take around 90 minutes to complete. Major updates can take considerably longer when factoring in the additional testing and reporting required for more significant changes.

We'll always inform you in advance which type of updates are scheduled and provide an estimated timeframe for the maintenance window. All updates are performed during quiet low-traffic periods to minimise any impact on your business, and we'll notify you once the maintenance is complete.

The frequency depends on your chosen plan:

  • Essential Plan: Your website is updated four times per year on both staging and production servers.

  • Business Pro Plan: Updates occur six times per year across both environments.

  • Enterprise Plan: Monthly updates for both your website and servers. This plan is ideal for mission-critical sites.

All updates are tested on your staging environment before being deployed to your live site.

We update your Statamic CMS and Laravel framework to their latest stable versions, apply Ubuntu server security patches and system updates, update your PHP configuration, and check and update SSL certificates if needed. A complete site backup is taken before any changes are made.

Any development, design, or SEO work is not included in the maintenance service. The service is specifically limited to keeping your Statamic CMS and Ubuntu servers up to date with the latest software.

This means we focus solely on maintaining the technical infrastructure - updating Statamic, Laravel, server software, security patches, and ensuring everything runs smoothly. Any additional functionality, design changes, content updates, or search engine optimisation would require a separate quote.
